AI receptionist · cleaning

Quote calls answered,
while your crew is still on a job.

Cleaning companies lose the phone to the job. The owner is on site, the crews are in houses with the vacuum running, and the quote request goes to voicemail while the caller tries the next company. The receptionist answers from the information you approve, tries the person you choose, and leaves a request with the size, the frequency and the access details in it.

From $49/month with 250 AI minutes and one US local number included. Additional AI time is $0.09 a minute on managed plans. See full pricing

The calls cleaning companies actually get

Quote requests

How much for a three-bedroom, two-bath house every other week? What about a one-time deep clean before guests arrive, or a move-out clean on Friday? The receptionist answers from the pricing policy you approve, whether that is a starting price, a per-visit range or "quoted after a walkthrough", and captures the home, the frequency and the date the caller has in mind.

Changes from current customers

Skip this week, add the inside of the oven, move Tuesday’s visit because a contractor is coming, use the side door this time. These calls are short and easy to lose. The receptionist takes each change as a message with the customer’s name and address so your office updates the plan.

Access, keys and trust

Callers want to know who will be in their home, whether the same crew comes each time, whether you are insured, and what happens with a key or a lockbox code. The receptionist answers from the statements you approved and takes the access details as a note for the crew lead.

An example call

Illustrative example A Thursday lunchtime quote request while the owner is on a job. The business, the caller and the policy are invented; the receptionist opens every real call with its AI disclosure.

  1. AI receptionist

Thanks for calling Maple and Moss Cleaning. I am an AI receptionist for the team. How can I help?

  2. Caller

I am looking for a regular cleaner for my house. Three bedrooms, two and a half baths, about 2,000 square feet. What would that run every other week?

  3. AI receptionist

Happy to help with that. Maple and Moss quotes recurring cleans after a short walkthrough, and the first visit is priced as a deep clean so the regular visits start from a clean baseline. That is how the company set it, so I will not guess a number, but I can take the details so the owner can quote you accurately. Where is the house?

  4. Caller

45 Quarry Lane in Fairmont. We have a golden retriever, if that matters.

  5. AI receptionist

Fairmont is in the service area. Maple and Moss welcomes pets and asks only that they be kept in a separate room during the first visit. Do you have a preferred day, and is anyone usually home?

  6. Caller

Fridays would be ideal. Nobody is home during the day, so I would need to leave a key or a code.

  7. AI receptionist

Noted. Let me try the owner now, she handles quotes. Please hold for a moment.

  8. AI receptionist

The owner is on a job and did not pick up. I have the house, the frequency and Fridays. Can I get your name and the best number to call back?

  9. Caller

Priya Raman, and this number is fine. Afternoons are best.

  10. AI receptionist

Thank you, Priya. Your quote request is with the team now, with a note that afternoons are best, and the owner will call you back on this number.

What your team sees

Synthetic example record The team inbox shows a quote request: recurring biweekly clean, three bedrooms, two and a half baths, about 2,000 square feet, 45 Quarry Lane in Fairmont, a golden retriever, Fridays preferred, nobody home during the day so a key or code will be needed, caller Priya Raman at the number she called from, afternoons best, transfer tried to the owner at 12:24 p.m. and not answered. The owner calls back from the record to set up the walkthrough.

What callers ask cleaning services, and how it answers

Every answer comes from the business information you approve during setup. The receptionist does not guess at prices, areas or policies you have not given it.

How much do you charge for a standard clean?
It states only the pricing you approve. Some companies approve a starting price per visit for a typical home; others approve "quotes follow a walkthrough" and a sentence about what changes the price. It never invents a number, and it always captures the size and frequency so your quote is accurate.
Do you bring your own supplies?
If you approve a sentence about supplies and equipment, including whether you use green products or a customer’s preferred ones, the receptionist reads it. Otherwise it takes the question for the office.
What is your cancellation policy?
The receptionist states your cancellation and lockout policy exactly as you wrote it, including any notice period and fee you approved, and takes a cancellation as a message with the customer’s name and date.
Are you bonded and insured, and do you run background checks?
With those statements approved, it reads them to the caller. If you have not approved a statement about background checks, it says the office will answer that rather than guessing.
Can you clean my office after hours?
It answers from the commercial services you approve, takes the square footage, the hours the space is empty and the contact, and your team sets up the walkthrough from the request.

After hours and overflow for cleaning companies

Evenings, when households plan

Most quote requests come after dinner, when the person who runs the house finally has a minute, and they pile up at the end of the month and the week before Thanksgiving. Your office is closed, but the caller is comparing three companies tonight. The receptionist answers, explains your pricing policy as you approved it, captures the home and the frequency, and the request is waiting in the inbox when you open in the morning.

Overflow while the owner is on site

In a small cleaning company the owner answers the phone and cleans. When the vacuum is running the call goes unanswered. The receptionist takes the quote request, the change of plan and the "where is my crew" call in full, tries you if you want it to, and leaves each one as a message you can act on between houses.

How after-hours answering works → What happens when three people call at once →

Urgent calls and safety

When a caller describes danger, the receptionist uses only the safety wording you approve, tries your on-call transfer and marks the request urgent. It gives no safety advice of its own and promises no arrival time. For a life-threatening situation, approve a line that tells the caller to hang up and call emergency services.

What a useful callback record contains

When a call ends without a transfer, the receptionist leaves your team a request instead of a missed-call notification. For cleaning companies that record holds:

  • Caller name and the best callback number
  • Address, and whether it is a house, an apartment or a commercial space
  • Size: bedrooms, bathrooms and approximate square footage
  • Service type: recurring with the frequency, one-time deep clean, or move-in and move-out
  • Access arrangements: someone home, a key, a lockbox or a door code, and pets
  • Preferred days, and the date a move-out or event clean must be done by

Requests land in the team inbox and on your configured webhooks, with the call record beside them. Read how the receptionist handles a call, see how intake questions are chosen, or see what reaches your team.

A worked month

Example from the rate card 120 calls a month averaging 3 minutes each use about 360 AI minutes after the 30-second per-call minimum. The cheapest managed plan for that month is Starter at $59: the $49 subscription plus $10 of additional AI time. With your own Twilio account the cheapest plan is Starter at $45, plus your carrier bill. Non-AI incoming time, connected transfers, extra numbers and taxes are not in these figures.

Get a supported US local business number without setting up your own Twilio account. Search by city, state or area code during paid setup; actual inventory, the number quote, accepted billing/funding and call qualification determine activation. AI time is metered per second with a 30-second minimum per AI-handled call. Every rate and term is on the pricing page.

Questions cleaning companies ask before switching

Can it give quotes over the phone?

Only the pricing you approve. If you approve a starting price or a range per visit, it says that; if you quote after a walkthrough, it says that and captures the details your quote needs. It never invents a figure.

Can it change a customer’s recurring plan?

It takes the change as a message with the customer’s name, address and the date involved, and your office makes the change. The receptionist writes nothing to your schedule itself.

How does it handle keys and door codes?

It notes what the caller tells it as part of the request, which reaches your team inbox and webhooks immediately, and your crew lead works from there. Decide during setup which access details you want callers to share by phone.
